Privacy Policy

How we collect, use, and protect information at Wedding EQ™, written to be read.
1. Introduction and Scope
Wedding EQ ("Wedding EQ," "we," "us," or "our") is a subscription software platform for wedding and event DJs and entertainment businesses, provided by Wedding EQ LLC, an Ohio limited liability company based in Dayton, Ohio. This Privacy Policy explains how we collect, use, share, and protect information when you:
- visit weddingeq.com or another website we operate (the "Site");
- submit an inquiry through our contact or demo-request forms;
- sign up for or use the Wedding EQ platform as a subscribing DJ or event business ("Subscriber," "you," "your"); or
- interact with a Subscriber's events, timelines, or portals as one of their clients, couples, or guests.
This Policy applies to Wedding EQ's own handling of information as described below. It does not apply to the practices of Subscribers themselves, or to third-party websites or services we do not own or control, even if linked from our Site or Service.
By using the Site or the Service, you agree to the collection and use of information as described here. If you do not agree, please do not use the Site or Service.
2. Information We Collect
a. Visitors to Our Website. When you browse weddingeq.com, we automatically collect limited technical information, including IP address, browser and device type, pages viewed, referring page, and the date and time of your visit, through server logs and cookies (Section 5).
b. Inquiry Form Submissions. If you submit an inquiry or request a demo, we collect what you provide, which may include your name, company name, email address, phone number, and any additional details you choose to share about your business or needs.
c. Subscriber Accounts. If you create a Wedding EQ account, we collect account and business information such as your name, business name, email address, phone number, role, and information about team members you invite. We also collect billing information as described in Section 2(e).
d. Event, Client, and Guest Data (submitted by Subscribers). The Service is built for Subscribers to run their events. In the course of using it, Subscribers submit information about their own clients (couples), event participants, and guests, which may include names, contact information, event details and timelines, song requests and music preferences, run-of-show and planning notes, contract terms, invoices, and payment records ("Client Data"). Wedding EQ collects and processes Client Data on behalf of, and at the direction of, the Subscriber who submitted it. Section 8 explains this relationship in detail.
e. Billing Information. When a Subscriber purchases a subscription, our payment processor, Stripe, Inc. ("Stripe"), collects payment card or bank account information directly. We receive limited billing details from Stripe, such as billing name and address, the last four digits and brand of the payment method, transaction history, and subscription status. We do not collect or store full card numbers, card security codes, or full bank account numbers.
f. Usage, Log, and Device Data. We automatically collect information about how the Site and Service are used, including login timestamps, features accessed, actions taken in the Service, error and crash logs, IP address, and browser/device identifiers.
g. Cookies and Similar Technologies. See Section 5.
h. Information from Connected Third-Party Accounts. If you connect a Google account, Spotify account, or TIDAL account to the Service, we receive information from those services as described in Sections 6 and 7.
3. How We Use Information
We use the information above to:
- provide, operate, maintain, and secure the Site and Service;
- create and manage accounts and process subscription billing;
- respond to inquiries and provide customer support;
- power Service features such as timelines, run-of-show, song requests, client and guest portals, contracts, invoicing and payments, pipeline/CRM, team access, statistics, and website/CMS tools;
- send administrative and transactional communications (billing receipts, security alerts, service updates);
- send marketing communications to prospects and Subscribers who have not opted out;
- monitor, analyze, and improve the Site and Service;
- detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms of Service; and
- comply with legal obligations and enforce our agreements.
Contacting you by phone, text, or email. If you provide a phone number through our inquiry form or your account, you agree that Wedding EQ may contact you by phone, text message, or email about your inquiry or account. We'll send marketing texts only if you separately agree to receive them. Message and data rates may apply to texts. You may opt out of texts at any time by replying "STOP," and of marketing email using the unsubscribe link in any such email. Opting out of marketing does not opt you out of transactional or account messages necessary to run the Service.
4. How We Share Information
We do not sell personal information, and we do not share it with third parties for cross-context behavioral advertising. We share information only as follows:
a. Service providers, under contractual confidentiality and data-protection obligations, including:
- Stripe, for payment processing and subscription billing;
- Google, where you connect Google Workspace features, as described in Section 6;
- Render, our cloud hosting provider, for application hosting, databases, and infrastructure, on servers located in the United States;
- email delivery providers, to send transactional and, where opted in, marketing email; and
- other vendors supporting functions such as customer support, analytics, and security.
b. Other Subscribers' use of Client Data. If you are a couple, guest, or other client of a Subscriber, your information is visible to and controlled by that Subscriber and their authorized team members as part of the Service's normal operation.
c. Legal requirements and safety. We may disclose information if required by law, subpoena, or other legal process, or if we believe in good faith it is necessary to protect the rights, property, or safety of Wedding EQ, our Subscribers, or others, or to detect, prevent, or address fraud, security, or technical issues.
d. Business transfers. If Wedding EQ is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction. We will notify affected users if a transfer results in a materially different use of their information.
e. With your consent, for other purposes you approve.
5. Cookies and Tracking Technologies
We and our service providers use cookies, web beacons, local storage, and similar technologies to keep you logged in and remember preferences, understand aggregate usage of the Site and Service so we can improve them, and measure the effectiveness of our marketing. You can control cookies through your browser, including blocking or deleting them, though some features may not work properly without them. We do not currently respond to browser "Do Not Track" signals. For questions about specific cookies in use, contact support@weddingeq.com.
6. Google User Data
The Service lets Subscribers optionally connect a Google account to use Google Workspace features inside Wedding EQ, including Google Drive (to store and retrieve event photos, files, and documents), Gmail (to send booking confirmations, invoices, timeline updates, and other event communications on the Subscriber's behalf when the Subscriber chooses to send from their own Gmail), and Google Calendar (to create, read, and sync event dates and timelines).
Wedding EQ's use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- We only request the Google scopes needed for the features above. Google shows you exactly what is requested on its consent screen before you connect your account, and you may decline any scope.
- We do not use Google user data to serve advertisements, including retargeted, personalized, or interest-based advertising.
- We do not sell Google user data and do not transfer it to data brokers, information resellers, or other third parties for their own independent purposes.
- We do not use Google user data to train or improve generalized artificial intelligence or machine learning models.
- We do not use Google user data to determine creditworthiness or for lending purposes.
- Human access to Google user data by Wedding EQ personnel is limited to: circumstances where you have given affirmative consent for a specific purpose (for example, troubleshooting a support request); where necessary for security purposes (investigating abuse); where necessary to comply with applicable law; or where the data has been aggregated and anonymized for internal operations.
- We retain Google user data only as long as needed to provide the connected features, and delete it or disconnect access when you disconnect your Google account, close your Wedding EQ account, or request deletion, except where we are permitted or required to retain copies (backups, fraud prevention, legal compliance).
- You can revoke Wedding EQ's access to your Google account at any time through your Google Account's third-party access page at myaccount.google.com/permissions, or by emailing support@weddingeq.com and we will disconnect it.
7. Spotify and TIDAL Data
Spotify. If a Subscriber or their client connects a Spotify account (for example, to build or export a playlist or song request list), we access limited Spotify account and playlist information necessary to provide that feature, such as your Spotify profile identifier and the playlists and tracks you choose to share or export. We use this only to provide the connected feature (song requests, DJ prep, playlist export) and do not use it for advertising or sell it. Your use of Spotify through the Service is also governed by Spotify's Privacy Policy and Spotify's Developer Terms. You can review and revoke Wedding EQ's access at any time from your Spotify account's connected-apps settings (Spotify.com, then Account, then Apps).
TIDAL. If a Subscriber or their client connects a TIDAL account (for example, for playlist export), we access limited TIDAL account and playlist information necessary to provide that feature, on the same basis described above for Spotify: use limited to the connected feature, no advertising use, no sale of the data. Your use of TIDAL through the Service is also governed by TIDAL's Privacy Notice and TIDAL's developer terms. You can revoke access from your TIDAL account settings at any time.
8. The Relationship Between Subscribers and Wedding EQ for Client Data
Where a Subscriber submits Client Data (their couples', clients', and guests' information) to the Service, the Subscriber is the "controller" (or "business") of that data, and Wedding EQ acts as a "processor" (or "service provider") acting solely on the Subscriber's behalf and instructions, as embodied in the Service's normal functionality and our agreement with the Subscriber.
This means:
- The Subscriber decides what Client Data to collect, how long to keep it, and who at their business can access it.
- Wedding EQ processes Client Data only to provide, maintain, and support the Service, and does not use it for our own independent marketing or other unrelated purposes.
- If you are a couple, guest, or other client of a Subscriber and have questions about your information, or want to access, correct, or delete it, please contact that Subscriber (your DJ or event vendor) directly. They control that data and are best positioned to respond. Wedding EQ will assist Subscribers in responding to such requests, and if you contact us directly, we will make reasonable efforts to verify your request and either act on it or route it to the relevant Subscriber.
- Subscribers who need a formal data processing agreement for their own compliance purposes may request one at support@weddingeq.com.
9. Data Security
We use administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction, including encryption of data in transit, access controls, and hosting with reputable infrastructure providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a security incident affecting personal information in a way that triggers a legal notification duty, we will notify affected individuals and/or Subscribers, and any required regulators, consistent with applicable law, including Ohio Revised Code Section 1349.19.
10. Data Retention
We retain information for as long as needed to provide the Site and Service, comply with legal obligations, resolve disputes, and enforce our agreements. In general:
- Inquiry form submissions are kept for as long as reasonably useful for follow-up, or until you ask us to delete them.
- Subscriber account and billing information is kept for the life of the account and for a period afterward as needed for accounting, tax, and legal purposes.
- Client Data is kept according to the Subscriber's settings and instructions, for as long as their account is active, and while the account is view-only after closure as described in our Terms of Service (see Section 15(e) of the Terms for long-inactive accounts), after which it is deleted or de-identified, except where retention is required by law.
11. Your Rights and Choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, or to opt out of certain uses. Ohio does not currently have a comprehensive consumer privacy statute, but other states (for example, California, Colorado, Connecticut, and Virginia) have enacted privacy laws that may apply to you. Where such laws apply to our processing, we will honor the rights they provide. Where they do not strictly apply to us, we will still make reasonable, good-faith efforts to honor legitimate requests as a courtesy.
To make a request, email support@weddingeq.com from the address associated with your inquiry or account, describing what you want. We may need to verify your identity first. If your information was submitted to us by a Subscriber (Section 8), we may direct your request to that Subscriber.
You can also update most account information directly in the Service, unsubscribe from marketing email using the link in any marketing message, and reply "STOP" to opt out of texts.
12. Children's Privacy
The Site and Service are directed to businesses and adults, not children. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact support@weddingeq.com and we will investigate and delete it as appropriate.
13. U.S.-Based Service
Wedding EQ is operated from, and its data is processed and stored in, the United States. If you access the Site or Service from outside the United States, your information will be transferred to, stored, and processed in the United States, which may have different data protection laws than your home country.
14. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the Effective Date above and, where appropriate, give additional notice (an in-app notice or email to Subscribers). Continued use of the Site or Service after an update becomes effective means you accept the revised Policy.
