Customizing your client emails and automations

Every email Wedding EQ sends for you is a template you can edit, switch to a draft, or turn off. Automations decide when those emails and reminders happen.

Before you start

Part 1: your emails

01Open Templates

More menu, group Planner content, then Templates. You can also review each built-in email from Setup, group 6 Emails.

What you seeA list on the left in groups: Your templates, Auto-send emails, Personal drafts, Text suggestions, Internal alerts + system and Page notices (never sent). A search box says "Find a template fast…", and pills filter by event type.

02Pick an email

Tap one. Its subject and body open in the editor. A small chip shows its state: default, draft or published.

03Choose what happens to it

Above the editor, the What happens row has three buttons.

  • Send. "Goes out automatically from your mailbox."
  • Draft. "Waits in Gmail as a draft until a person sends it."
  • Off. "Nothing is sent. The activity log notes each one skipped."

A line reads "Changed from the default (Send)" when you have moved it. Reset all to defaults puts every email back.

Some emails cannot be turned off. Wedding EQ says why on the email itself:

  • Payment receipts: "Ohio law requires this receipt when a deposit is paid." If you choose Draft, send it the same day.
  • Contract signed: "The signing record depends on the couple getting their signed copy."
  • E-sign request: "The couple can't sign without this email."
  • Host invite: "The person you invite gets their access through this email."

04Edit the words

Change the subject and the body. The toolbar has bold, italic, underline, a size menu, a color picker, bullet and numbered lists, Link, + Button, + Divider, and undo and redo.

05Drop in variables

Under the editor is a row of chips, such as "+ Both first names" or "+ Company name". Tap one and it lands at your cursor. When a template is sent, each one is replaced with a fact for that couple. Below the row, What each variable fills in as lists each variable with a sample.

  • Publish makes it live. The status reads "LIVE ✓".

09Signatures

At the bottom, the Signatures card holds the signature each sending mailbox adds to branded emails. Edit and press Save signatures. Each person's own signature is on their card in People and Access.

Part 2: your automations

10Open Automations

More menu, group System, then Automations. You can also review each built-in one from Setup, group 7 Automations, where each has Turn it on or Turn it off.

What you seeA line: "Every card = one rule. Sequences are ON by default: every record fires unless you pause it." Tabs filter by event type. The page is laid out in lanes by moment: When an inquiry arrives, When a lead converts, Enters: (a stage), Counting down to the event, and After the event. Each card shows its steps in order, such as "day 3: (email name)", and a switch that reads active or off.

11What is built in

Wedding EQ ships these, all on by default:

  • Weddings and private: no reply after 3 days (nurture draft) and quiet for 14 days (re-engage draft).
  • Corporate and school: day 1 quote-offer draft, day 7 second touch, day 21 last touch.
  • Quiet 30 days: a last-call task and a text option.
  • Soft hold: a "date held" draft on day 0, nudges on days 2 and 4, and an expiry task timed from the hold's end date.
  • Contract sent plus 3 quiet days: a follow-up draft.
  • Just booked: a suggested welcome text.
  • Planning: check-in drafts 60 days out (30 days for corporate and school), a final-session invite 45 days out and a nudge text 40 days out.
  • Balance due soon: a check-payment task 2 days before the due date.
  • One week out: suggested texts.
  • After the event: a suggested thank-you text, a review-request draft on day 3, and thank-you drafts for private and business events.

Most of these make a draft for you to send, a task, or a text for you to send. They do not send to a couple on their own.

12Edit or build one

Tap a card to open it. You can change:

  • Trigger. An inquiry arrives, a lead converts, a record enters a stage, X days before the event, X days before the balance is due, or X days after the event.
  • Event types. Which kinds of events it applies to.
  • Steps. For each step choose Wait (days or weeks) and then one of: Draft an email (you send it), Suggest a text (you send it), Auto-send an email, Create a task, Set portal status, Log a line. Pick the email to use. edit copy opens that email's editor in a new tab. Arrows move a step up or down, and the × removes it. + add a step adds one.

Press Save. ▶ Test run shows what it would do without sending. To build a new one, press + add in a lane. A new automation starts off, so turn it on when you are happy.

13Pause one for one couple

Use the ⚡ in that record's dropdown or workspace. Their automations stop and the rest keep running.

Part 3: status lines

Every couple sees a short status line at the top of their page. You can edit each one for your company.

14Open Status lines

Open More › Planner content › Planner copy, then the Status lines tab.

What you seeA list of every line a couple can see at the top of their page. Each has its own words and a color level.

15Edit a line

Change the words and save. The couple sees your wording from then on.

16Reset a line

Press Reset to EQ default on any line to go back to Wedding EQ's wording.

17Know the levels

The level and color of each line are fixed. You edit the words, not the color.

Heads upAmber
All goodGreen
UrgentRed

18The date-hold line

The variable {hold} is the sentence about holding the date. It follows your hold policy (guide 1, Setup, Holding a date). Keep {hold} in the line and the sentence stays right when you change your policy.

When a hold ends, the couple sees "Your hold has ended. Your date may still be open. Book now or reach out to ask for more time." You can edit those words here too. Guide 1 explains the whole hold.
