Getting started: the Setup checklist and going live

Setup is one page that walks you through every choice your company makes before it works with real couples. You approve each item, do a test run, then press Go live.

Before you start

Steps

01Sign in

Use the address Mike gives you.

02Open Setup

Until you are live, every page shows a bar that reads "You're not live yet. Client emails wait as drafts until you finish setup." Tap Open Setup.

What you seeA page titled Setup. Next to the title is a count such as "3 of 14 approved" and a pill that says Not live yet. Below it are eight groups: 1 Company, 2 Get paid, 3 Policies, 4 Contract, 5 Packages, 6 Emails, 7 Automations, 8 Test run.

03Learn how one item works

Every item has the same parts. A title, one line on what it does, "Clients see:" (where it shows up), your current value, and buttons.

  • Approve saves your choice. You are saying "I read this and this is right for my company." Nothing is approved for you in the background.
  • Edit (or All settings) opens the screen that owns the value.
  • Approve again appears on an item you already approved, in case you change it later.
  • After you approve, the item shows "Approved (date) by (name)".
  • If Wedding EQ changes a default you kept, the item says Default updated. Review it. Read it and approve again.
  • If an item cannot be approved yet, a short line in amber says why, for example "Add your company name first."

04Group 1, Company

Fill in each item and press Save, then Approve.

  • Company name. Both the company name and a short name (up to 16 characters) are required.
  • Legal name and address. The business that signs your contracts. On LITE this is optional, and it shows "Optional on your plan".
  • Phone and email. Keep at least one so couples can reach you.
  • Website.
  • Time zone. Eastern is the default.
  • Logo and colors. Upload a PNG logo (light artwork works best on dark screens) and pick an accent color. Every plan can upload a logo, LITE included, with or without Google Drive.
What you seeThe page reloads with the item marked approved.

05Group 2, Get paid (Pro)

  • Card payments (Stripe). Connect your Stripe account. Follow guide 2, then come back and press Approve. The value reads "Connected".
  • Receipt terms. Your refund, date-hold and other-cost words for payment receipts. Ohio requires them on a deposit. Guide 2 covers this too.
  • Sales tax. The percent added to invoices.
  • Balance due. How many days before the event the balance is due. The starting value is 14.
  • Price after signing. Choose what happens to a signed price when your catalog changes: "Signed price stays; changes are added on" or "Re-quoted on change".

06Group 3, Policies

  • Overtime rate and Add-on deadline.
  • Meal and travel lines. Turn the DJ meal line and the travel fee line on or off in your contract.
  • Governing state and court. Printed on every contract.
  • Holding a date. Choose when you hold a date ("As soon as they inquire", "When they book a call", or "Only once they book") and, after the call, how long you hold it (3, 5, 7, 10, 14, 21 or 30 days, or "Until they book"). Press Save. This is your courtesy hold before anything is signed. It is separate from what your contract says once a deposit is paid. The hold now counts down and ends. See "When a date hold runs out" below.
  • Service area.

07Group 4, Contract, and Group 5, Packages

  • Your contract. Choose where it starts, read every version, and adopt it. Follow guide 5.
  • Packages and prices. Open Pricing, build your packages, and publish them. Until you do, the item reads "Still the starter catalog" and cannot be approved.

08Groups 6 and 7, Emails and Automations

Each built-in email lets you pick Sends, Waits as a draft, or Off (a few cannot be turned off). Each built-in automation has Turn it on or Turn it off. Follow guide 8.

These two groups never stop you from going live. If some are still unreviewed the page says "N of your emails and automations are still to review. They don't stop you going live."

09Group 8, Test run

Run a test inquiry, contract and test payment on your own test record, then press Mark done.

10Go live

At the bottom, read the note. Until you go live, Wedding EQ keeps every client email as a draft in your mailbox, so nothing reaches a real couple. When every required item is approved and the test run is marked done, the Go live button turns on. Press it and confirm "Go live? From now on your client emails send for real."

What you seeThe pill at the top changes to Live and the footer reads "You're live. Your client emails send for real."

What changes when you go live

When a date hold runs out

Your hold policy in Setup (group 3, Holding a date) now does more than set the wording. It starts a clock.

How the clock works

What you see

What your couple sees

When the hold ends, the couple's EQ timeline becomes read-only. It shows this message:

Your hold has ended. Your date may still be open. Book now or reach out to ask for more time.

Under it are two buttons, Book now and Message us.

The couple can still fill in Contract Details, sign and pay. That is how they book.

You and the DJ are never locked out. Staff can always open and edit a timeline, even after a hold ends.

When you press Extend, the couple's EQ timeline opens up again.

Change the message. The words are editable per company. See guide 8, Part 3, Status lines.
